Photo Gala Volunteer Opportunities
The Photo Gala is one of our favorite events, and for good reason. It is a beautiful experience, the community loves it and it is a ton of fun. But, it takes a lot of work to set up and run the event. If you can help with any of the jobs listed below, please contact:

Friday April 17
- 10 AM – 12 PM
- (4 – 6) people needed to attach velcro mounting dots to the back of the first batch of photos.
- Check photos against entry list to verify title, category, etc…
- Organize into category piles.
Wednesday April 22
- 10 AM – 12 PM
- (4 – 6) people needed to attach velcro mounting dots to the back of the second batch of photos.
- Check photos against entry list to verify title, category, etc…
- Organize into category piles.
Friday April 24 Setup Day – NWC provides lunch.
- 10 AM – 1PM (4 – 6 people) Transport and set up photo display panels.
- Meet at Northwoods Wildlife Center to load and transport photo display panels to the Campanile Center for the Arts.
- Panels are 3/8” thick by 4’ wide by 8’ tall, wrapped in charcoal colored felt. They are not particularly heavy, and two people can move them easily.
- Unload panels and carry them onto the stage.
- Set up panels.
- Meet at Northwoods Wildlife Center to load and transport photo display panels to the Campanile Center for the Arts.
- 10 AM – 4 PM (8 – 10 people) Move chairs, setup
- Meet at the Campanile Center for the Arts to move theater chairs out of the way, and set up seating areas.
- Set up tables for raffles and food.
- Set up NWC information displays.
- Decorate tables
Saturday April 25 Gala Day – NWC provides food for volunteers…
- 12 PM – 5 PM ( 6 – 8 people)
- Finalize details, hang banners and signs, make any last minute corrections to the photos, tweak lighting and sound,
- 3 PM – Judges come in.
- 4 PM – pick up catering, bring back to Campanile and set up
- 5 PM – 8 PM (8 – 10 people) Event time!
- (2 people) collect donations, hand out ballots, answer questions
- (2 people) meet and greet.
- 4 people – food table, monitor food and replace trays when empty, consolidate and clean up throughout the night.
- 4 people – represent NWC on stage, answer questions, shuttle ballots to green room for counting.
- 3 people selling raffle tickets
- 4 people – to count and enter ballots into computer.
- 8 PM – 9 PM partial cleanup, collect trash, photos, leftover food, decorations, etc. Final cleanup is on Monday, April 27
Monday April 27 Final Cleanup
- 10 AM – 12PM ( 6 – 8 people)
- Take down display panels and lighting and transport back to Northwoods Wildlife Center
- Take down tables and sort by whoever owns them. Take out tables back to the Center, set Sam’s rental tables by back door, return campanile tables to wherever we are directed to put them
- Put chairs back and arrange them according to Campanile Center directions. Buzz is usually on hand to make sure we do it right! This goes fast with enough people.
